Unit 9: Analyses

Inventory Management offers three families of evaluations: classic stock and document lists (Environment menu), periodic consistency reports (Periodic Processing menu) and role-based analytical Fiori apps and overview pages. The certification expects you to know which report answers which question – and which T-code belongs to it.

Lesson 1 · Applying Stock Lists and Document Lists

After this lesson you can

  • Choose the right document list or stock list for a question
  • Use ALV layouts and detail lists
  • Configure the stock overview display and the material document list in Customizing

Key concepts

First decide whether you are interested in movements (Environment › List Displays: material and accounting documents) or in stock situations (Environment › Stock). Some analyses exist only as Fiori apps; most exist both as GUI transaction and as app. Nearly all lists use the SAP List Viewer (ALV): you can save layouts (Settings › Layout / Display variants) and, for some lists such as material documents, stock in transit or stock with subcontractor, switch to a flat detail list (Goto › Detail Lists) that allows exact subtotals per column and totals across units. Each report has program documentation on its selection screen.

Document lists

T-codeReportTypical use
MB51Material document listAll material documents for one or more materials; select by plant, storage location, movement type, special stock, user, posting date, transaction type
MR51Accounting documents for materialAll FI documents relevant for a material; select by company code, valuation area, posting/document date, FI document type
MBALArchived material documentsReads the archive
MBSMCancelled material documentsReversal documents with their originals; only reversals created with the Cancel function are found
MBGRMaterial documents with reason for movementItems with a reason for movement – without PO reference (optionally only items without supplier/PO) or with PO reference (then all GRs of the PO item are read from the PO history, showing delivered and returned quantities, values and return percentage)

Stock lists

T-codeReportKey characteristics
MMBEStock overviewOne material across all org. levels (client, company code, plant, storage location, batch, special stock); display version (from Customizing) determines which stock types appear and in which order; option to hide zero lines
MD04Stock/requirements listDynamic, current availability for one material in one plant; reads MRP elements (stock, PReqs, POs, reservations…) each time
MB53Plant stock availabilityAvailable stock of one material in selected plants (static availability)
CO09Availability overviewDynamic availability check (ATP); requires a checking group in the material master
MB52Warehouse stockQuantities and values for many materials at plant/storage location level; selection by material type, material group, purchasing group; "display negative stocks only"
MB5BStock for posting dateOpening/closing stock (quantity and value) for a date range plus receipts, issues and the documents in between, computed backwards from current stock
MB5TStock in transitCross-plant and cross-company STOs; optionally delivered/deleted POs; special stock for sales order stock transfers
MB5TDStock in transit on key dateLike MB5T but only PO history up to a key date (printed as "MBSTD" in the handbook)
MB5OAValuated GR blocked stockFrom PO history, incl. acceptance at origin; proportional valuated GR blocked stock per PO item
MBBSValuated special stockValuated sales order stock and project stock
MBLBStock with subcontractorMaterials and quantities provided to a subcontractor (special stock O)

Customizing for lists (Reporting node)

  • Define Stock List Display (OMBG) for MMBE: (1) display version, (2) rules for which stocks appear on which screen/column of the basic list per version, (3) detail screen – which stocks and in what sequence per org. level and special stock.
  • Define Field Selection for Material Document List: selection screen indicator adds fields to the MB51 selection screen (e.g. material document number/year); output field indicator controls whether a field is in the field catalog – fewer fields can improve performance.
  • Set Up Print Functions for Reporting: extra information printed with the lists; detail list in ALV Grid Control instead of the list viewer.
  • Group Movement Types for Stock Lists: movement type groups that can be used as filter in MB5B (e.g. all purchasing-relevant movement types).

System steps

  1. Run MB51 for a material and movement type 101; save a layout with the columns you need.
  2. Switch to the detail list (Goto › Detail Lists) to produce subtotals.
  3. Compare MMBE (one material, all levels) with MB52 (many materials with values).
  4. Use MB5B to reconstruct the stock at a past period end.

Configuration (IMG)

Newer releases (2021–2025)

In SAP S/4HANA all stock reports read from the single material document table MATDOC; stock quantities are aggregated on the fly instead of being read from the old aggregate tables (MARD, MCHB, MKOL etc. survive as compatibility views). This is why reports like MB5B and the Fiori stock apps can calculate historical stock quickly.

Exam focus
  • Reversal documents with originals → MBSM (only reversals made via Cancel).
  • MMBE = one material; MB52 = many materials with values, negative stocks option; MB5B = stock on posting date.
  • MD04 and CO09 are dynamic; CO09 needs a checking group.
  • Display versions for MMBE are defined in Customizing (OMBG).

Lesson 2 · Applying Periodic Processing

After this lesson you can

  • Analyze unit-of-measure conversion differences
  • Reconcile MM stock values with FI stock accounts
  • Run the stock consistency check

Key concepts

The Periodic Processing menu contains reports used at regular intervals to keep stock data clean: analysis of conversion differences, list of stock values, stock consistency check and management of held data.

Analysis of conversion differences (MB5U)

All movements are stored in the base unit of measure; entries in alternative units are converted with the factor in the material master. Rounding can leave small residual quantities, especially when metric base units are combined with imperial entry units (or vice versa) or when the base unit is not the smallest unit. The report (selection by posting date, material, plant, special stock, threshold value) totals receipts and issues in entry and base unit and shows the conversion difference; the balance can then be corrected manually.

List of stock values (MB5L)

Shows total stock quantity and value per material at company code and valuation area level together with the stock account used. It can also display balances per company code and G/L account, comparing the G/L balance with the sum of material stock values. Selection: material, company code, valuation area, valuation type, valuation class, G/L account; period current/previous/previous year; scope such as totals only or negative stocks only. From a G/L account line, Environment › Stocks lists all materials in that account.

Without restrictions, each stock account balance should equal the total stock value of its materials. Causes of differences:

  • Manual postings to the stock account.
  • Other postings than stock postings hit the account – stock accounts should be used only under transaction key BSX; check OBYC.
  • The BSX account was changed in live operation without moving the stock out of the old account (562) and into the new one (561).

Because materials cannot be locked while the report runs, concurrent postings may cause temporary differences – run it several times and compare.

Stock consistency check (MB5K)

Checks stock data at valuation area or material level for own stock, valuated sales order stock and project stock:

  • Valuation data coherence: price = value / quantity? positive quantity with negative price? negative value although negative stock is not allowed? value ≠ 0 with zero stock?
  • Whether the total valuated stock equals the sum of its sub-segments, e.g. split-valuated material header = sum of all valuation types.

Process flow

MB5U (UoM rounding)→MB5L (MM vs. FI)→MB5K (data consistency)→Correct & re-run
Exam focus
  • Periodic Processing reports: MB5U, MB5L, MB5K (+ held data) – stock overview and MD04 are not.
  • MB5L differences: manual postings or non-stock postings on stock accounts, account change without 561/562 transfer. Managing several materials in one account is normal, not a cause.

Lesson 3 · Using Analytical Apps for Inventory Management

After this lesson you can

  • Use the two inventory overview pages and their cards
  • Describe the main analytical apps for stock, slow movers and dead stock

Key concepts

Overview pages bundle the most important information for a role on actionable cards. Users can hide cards (user icon › Manage Cards) and rearrange them by drag and drop. The page filter applies to all cards; plant is mandatory and single-value, storage location and material are optional. On list cards the header opens the underlying app and an item opens its detail; on chart cards a click opens the analytical detail.

Further analytical apps

AppHighlights
Stock – Single MaterialStock per plant/storage location as table or chart; history of last 11 periods plus current stock as a curve; compare with safety stock and minimum safety stock (via stock history); drill-down to day-end stock and to individual material document items; personalize stock types; reporting date defaults to today (empty = end of current period)
Stock – Multiple MaterialsStock of many materials on a reporting date with filters (plant, storage location, material group, shelf-life expiration date…); "Current value of…" fields = quantity × current price (recommended, faster); "Value of…" fields = historical prices at posting time; export to spreadsheet
Slow or Non-Moving MaterialsNon-moving = stock ≠ 0 and no consumption postings for a defined period; slow movers also tracked; follow-up e.g. scrapping or stock transfer
Dead Stock AnalysisDead stock = stock value increased over the analysis period despite consumption postings; flags risk to cash flow and profitability (discontinue, discount, transfer)

System steps

  1. Open Overview Inventory Management, set the mandatory plant filter.
  2. Hide a card via Manage Cards and drag another card to the top.
  3. Click the Stock Value by Special Stock Type chart to jump into Stock – Multiple Materials.
  4. Open Stock – Single Material for one material and drill down from the history micro chart to the material document items.
Newer releases (2021–2025)

These analytical apps are built on CDS views over MATDOC and are the recommended successors to many GUI lists. SAP continues to add Inventory Analytics apps per release; consult the SAP Fiori apps reference library for the exact scope in 2021, 2022, 2023 or 2025.

Exam focus
  • Overview pages: role-based, card-based; plant filter mandatory and single-value.
  • Stock – Single Material: table or chart, safety stock comparison, 11-period history.
  • Dead stock (rising value despite consumption) vs. non-moving (no consumption) – dead stock affects cash flow/profitability.
  • Stock – Multiple Materials: current price vs. historical price values.
