Unit 10: Further Customizing Settings

The last unit collects the cross-cutting configuration of Inventory Management: how accounting, material, physical inventory and reservation documents get their numbers, how a movement type is built and copied, and what the plant parameters and the MIGO settings control.

Lesson 1 · Implementing Settings for Documents

After this lesson you can

  • Explain number assignment for accounting documents created by goods movements
  • Explain transaction types and number range groups for material and physical inventory documents
  • Configure number assignment for reservations

Key concepts

Accounting documents

FI uses document types to separate kinds of business transactions and to give each kind its own numbers. In Inventory Management it is the transaction (not the company code) that decides which accounting document type is used. Each document type points to a number range, and that number range has intervals defined per company code and fiscal year.

Document typeUsed for
WAGoods issues, transfer postings, other goods receipts
WEGoods receipts with reference to purchase orders
WIInventory differences (physical inventory)
WLGoods issues with reference to deliveries (SD)
WNNet postings of goods receipts
PRPrice change / revaluation documents

Material and physical inventory documents

Here numbering is driven by fixed transaction types (also two-letter keys). The transaction types are grouped into number range groups, and each group gets one number range interval. You cannot change the transaction types themselves, but you can change the intervals or move transaction types into new groups. Note that material documents are numbered per material document year, independent of the company code.

Group (standard interval)Transaction types
Physical inventory documents (0100000000–0199999999)IB PI document; ID count and differences without reference; IN recount; IZ count without reference; WV difference posting from Warehouse Management
Material documents for goods movements and inventory differences (4900000000–4999999999)WA GIs, transfer postings, other GRs; WI inventory adjustment postings; WL GIs for deliveries (SD); WR movements from PP confirmations
Material documents for GRs (5000000000–5999999999)WE GR for PO; WF GR for production order; WO subsequent adjustment for subcontracting
Inventory sampling (0200000000–0299999999)SI

Reservations

You may create several number ranges with intervals, but only one number range is actually used – in the standard number range 01. The setting is valid client-wide for all plants. Reservations created directly in the system are numbered internally only. Reservations created through BAPI BAPI_RESERVATION_CREATE1 (method CreateFromData1) use number range RB for external number assignment.

Practical tip

FI document types themselves (e.g. which number range WE uses, and which account types it allows) are maintained in FI Customizing with OBA7; the MM activity OMBA shows the assignment from IM transactions to these types.

Exam focus
  • Accounting document type is determined by the IM transaction; intervals per company code and fiscal year.
  • Material/PI documents: transaction types → number range groups → interval. Transaction types cannot be changed.
  • Remember WE (GR for PO, 50…) vs WA (GI/TP/other GR, 49…).
  • Reservations: several ranges possible but only one used (01); RB for external numbers via BAPI.

Lesson 2 · Setting Up Movement Types

After this lesson you can

  • Describe the control functions of a movement type and its Customizing views
  • Create a customer movement type by copying
  • Explain quantity string, value string and account grouping

Key concepts

The movement type is the three-character key that identifies a goods movement. It drives which quantity fields are updated, which stock and consumption accounts are posted, and how the entry screen looks. Many functions configured elsewhere (SLED check, automatic storage location creation, automatic PO at GR, stock determination, dynamic availability check, field selection) also show up as indicators in the central activity Copy, Change Movement Types.

Because some indicators depend on more than the movement type – special stock indicator, value/quantity update, movement indicator (e.g. PO, order, delivery), receipt indicator, consumption posting – several views contain multiple lines for one movement type, one per possible combination.

ViewKeyTypical settings

Quantity string, value string, account grouping

  • Quantity string – fixed SAP setting that controls which quantity fields are updated. Neither the string nor its assignment to a movement type can be changed.
  • Value string – fixed SAP setting that controls the value update and determines which transaction keys (e.g. BSX, GBB, PRD, WRX) are relevant for automatic account determination. Also not changeable.
  • Account grouping (account modifier) – the changeable lever. For keys such as GBB it lets different movement types hit different G/L accounts, e.g. 201 (VBR) posts to consumption while 551 (VNG) posts to a scrapping account. The accounts themselves are set in OBYC.

System steps

  1. Start OMJJ; pick a standard movement type whose quantity/value update matches your need (e.g. 201).
  2. Copy it to a new key starting with 9, X, Y or Z (three characters, e.g. Z01), copying all dependent entries.
  3. Also copy the reversal movement type of the template (e.g. 202 → Z02) and assign it in the Reversal/follow-on view.
  4. Adjust texts, allowed transactions, field selection, account grouping; save and test in MIGO.
  5. If needed, assign new account modifiers in OBYC and check with OMWB (account determination simulation).

Configuration (IMG)

SPRO › Materials Management › Inventory Management and Physical Inventory › Movement Types › Copy, Change Movement Types (OMJJ)
Exam focus
  • Customer movement types: three characters starting with 9, X, Y or Z (so 991, X92 valid; Z101, C93 invalid).
  • Always copy a template including dependent entries, and copy the reversal movement type too.
  • Quantity and value strings are fixed; the account grouping (modifier) is what you change.

Lesson 3 · Applying Other Customizing Settings

After this lesson you can

  • Use the plant parameters
  • Configure MIGO field selection, field selection per movement type and transaction/reference settings

Key concepts

Plant parameters

The plant parameters bundle all plant-dependent IM and PI control settings on one screen per plant. Because many functions also need settings per movement type or other keys, SAP advises configuring a function in its own IMG activity so nothing is forgotten; the plant parameters are an overview. When a plant is created by copying, its plant parameters are copied from the reference plant.

GroupExamples
Goods movementsAutomatic creation of storage location data; Delivery Completed default; missing parts check at GR active; batch where-used list; SLED check
Physical inventoryDefault stock type; propose alternative units of measure; batch determination in background; change documents for count changes; adjust book inventory; reason for inventory difference
ReservationsMovement Allowed default; days for Movement Allowed; retention period for reservation items
Negative stocksAllow per special stock (requires negative stock allowed at plant and storage location)

Not in the plant parameters: default movement types or restricting movement types per plant.

Settings for Goods Movements (MIGO)

ActivityPurpose
Field Selection for MIGO (OMJX)Hide fields or buttons, or make fields required (e.g. Delivery Note, Bill of Lading). Standard: all optional except the GR/GI Slip number field, hidden because only some countries (e.g. Italy) need it. "Required" is only evaluated for fields of structures GOHEAD (header) and GOITEM (item).
Field Selection per Mvt TypePer movement type, each visible field is optional or required; delete the entry to hide a field, New Entry to show a hidden one. Independent of special stock indicator (special stock fields appear automatically). Not every field is changeable for every movement type. Also reachable via OMJJ.
Settings for Transactions and Reference DocumentsPer MIGO transaction code – action – reference document: which actions/references are offered, the movement type proposed on first use, and whether Check (F7) is mandatory before posting.

Configuration (IMG)

Exam focus
  • Plant parameters include reservation retention period and SLED check – not default movement types.
  • Mandatory Check before posting is set per transaction/action/reference in "Settings for Transactions and Reference Documents".
  • Required-field setting in OMJX works only for GOHEAD/GOITEM fields; GR/GI slip number is hidden by default.

Self-check questions

  1. What determines the accounting document type of a goods movement, and how are its intervals defined?
AnswerThe IM transaction determines the document type (e.g. WE, WA); the number range intervals are defined per company code and fiscal year.
  2. Can you change the transaction types for material document numbering?
AnswerNo. You can only change the intervals or regroup transaction types into new number range groups.
  3. How many reservation number ranges are used?
AnswerOnly one (standard 01), client-wide; RB serves external numbering via BAPI.
  4. Which keys are valid for a new movement type: Z101, 991, X92, C93?
    Answer991 and X92 – three characters, starting with 9, X, Y or Z.
  5. How can movement types 201 and 551 post to different expense accounts although both use GBB?
AnswerThrough different account groupings (account modifiers VBR and VNG), assigned to accounts in OBYC.
  6. Where do you force users to run Check before posting in MIGO?
AnswerIn Settings for Goods Movements (MIGO) › Settings for Transactions and Reference Documents, per transaction/action/reference.
